AI Virtual Assistant Software vs a Dedicated Assistant: UK and European Costs

By 24 October 2026

AI virtual assistant software suits repeatable actions with clear rules, while a dedicated human assistant is better placed to handle ambiguous requests, relationships and exceptions. For UK and European employers, the choice often turns on who will own the work after setup. Buying software does not assign responsibility for permissions, quality checks or failures. Hiring an administrative assistant does not automatically provide the technical skills to maintain integrations.

What are you hiring or buying?

AI virtual assistant software includes chat interfaces, scheduling tools, email drafting, meeting transcription and agents that act across connected systems. A dedicated virtual assistant is a person assigned to recurring operational work: inbox management, diary coordination, research, customer follow-up and reporting. An AI automation specialist connects tools such as n8n, Make, Zapier, CRMs, APIs and language models, then maintains the resulting workflows. An assistant who uses AI tools effectively may still need specialist support to build those connections.

How Borderless Recruit helps: the agency specialises in dedicated, full-time AI and automation talent from the Philippines and also supplies executive assistants. Each employee works only for the client, during your UK or European business hours. Borderless Recruit handles sourcing, vetting, local employment contracts, payroll and HR for a flat monthly fee.

Compare total monthly costs, not subscriptions with salaries

The standard catalog staffing prices are from £670 / €770 per month ($875) for an Executive Assistant and from £990 / €1,150 per month ($1,300) for an AI Automation Specialist. These are all-inclusive client staffing fees, not the worker's salary. Budget separately for your software licences, usage charges and internal management time.

For a local-hire comparison, use the executive-assistant benchmarks for administrative work. The catalog's UK planning assumption of £35,000 annual gross pay plus a 16% employer-cost allowance produces approximately £3,383 per month. The catalog cites ONS earnings data as salary context; the figure is a catalog planning input, not a role-specific median established by that bulletin.

For the Netherlands, the catalog's €52,500–€70,500 annual gross salary range plus a 17% employer-cost allowance produces approximately €5,119–€6,874 per month. Its references include CBS occupational wage data and Dutch payroll contribution tables. The annual range and combined allowance are catalog assumptions, not a quoted CBS annual salary range or a universal Dutch contribution rate.

Both monthly estimates spread annual salary plus the catalog allowance across the year. Treat them as loaded payroll estimates: add recruitment, equipment, software, management time and any additional leave-cover costs to reach your fully loaded employer budget. Check whether local pension and holiday-pay obligations are already included. Match responsibilities and seniority before comparing; these assistant benchmarks cannot establish the cost of a local automation specialist.

For an actual UK payroll calculation, employer National Insurance is generally 15% above the £5,000 annual secondary threshold in the 2026/27 tax year, subject to applicable reliefs. The usual auto-enrolment minimum employer pension contribution is 3% of qualifying earnings. A catalog allowance is a budgeting shortcut, not a substitute for applying these rules to the hire.

Build a comparable operating budget

OptionInclude in the monthly budgetMeasure alongside cost
Software-ledSubscription, model/API usage, connectors, setup allocation, monitoring, review and reworkOutputs accepted without correction; unresolved exceptions
Dedicated assistantStaffing fee or fully loaded local employment cost, licences, management and technical supportCompleted requests, response quality and overdue work
Automation specialistStaffing fee or fully loaded local employment cost, platform usage, infrastructure and business reviewWorkflow reliability, recovery quality and maintainable documentation

For cost per accepted output, divide the total operating budget by work that passes an agreed quality check. Keep the task mix and acceptance standard comparable. A drafted reply, an approved reply and a resolved customer issue are different outputs; counting them together can hide the cost of unfinished work.

Which tasks should you automate, delegate or retain?

Classify individual tasks before choosing a solution for an entire department. Start with a recent sample of real requests and record the inputs, judgement required, systems involved and consequence of an incorrect action.

  • Automate when inputs are structured, rules are stable, errors are detectable and actions are reversible. Examples include copying approved form data into a CRM and routing standard requests.
  • Use AI with human review when it can prepare useful material but someone must approve meaning, tone or action. Examples include inbox summaries, research briefs and proposed replies.
  • Delegate to an assistant when work depends on context, tact or persistent follow-through. Examples include diary negotiation, supplier chasing and clarifying incomplete requests.
  • Assign an automation specialist when systems, APIs, webhooks or approval stages must work together. Include testing, alerting and recovery in the role.
  • Keep consequential approval with an authorised internal decision-maker. An assistant or AI tool may prepare evidence for employment, financial or legal decisions without receiving authority to make them.

A hybrid model needs explicit handovers

An administrative assistant operates processes; an automation specialist builds and maintains them. The specialist should demonstrate secure authentication, field mapping, duplicate prevention, retries and log investigation. The assistant should recognise when the process no longer fits the request and escalate with enough context for a decision.

Illustrative task ownership

WorkflowSoftware prepares or executesAssistant handlesSpecialist maintains
Shared inboxSuggested classification, summaries and reply draftsAmbiguous requests, sensitive replies and follow-upRouting rules, CRM connection, logs and failure alerts
Management reportingData collection, calculations and draft commentaryChecks against source records and missing-information queriesValidation rules, refresh monitoring and documentation
Customer onboardingApproved reminders and standard status updatesIncomplete requests, reassurance and coordinationWorkflow state, permissions and escalation paths

For example, an onboarding reminder should stop when the requested document arrives. If the document cannot be matched to the customer, the system should flag the exception for the assistant. The specialist investigates a broken matching rule; the process owner decides whether an unusual document is acceptable. This is an illustration of responsibilities, not a promised outcome.

Agree coverage and operating ownership

Philippine staff work a shift that overlaps your UK or European business hours, which means working later locally. The Philippines does not observe daylight saving, so confirm how the shift changes when UK or European clocks change. Automated execution outside that shift does not mean someone is available to investigate an incident.

  • Discovery: catalogue recurring tasks, systems, data sensitivity, failure consequences and the employee who approves each process.
  • Trial: use a bounded process with test data, clear acceptance criteria, a manual fallback and visible error reporting.
  • Rollout: restrict permissions, review outputs and record exceptions before expanding the workload.
  • Continuity: keep workflows in client-controlled accounts and document dependencies, access ownership, recovery steps and change history.
  • Coverage: name the contact for urgent failures, agree when work can wait and ensure an authorised colleague can pause the workflow.

Check UK GDPR and EU GDPR before granting access

Remote access to personal data can engage international-transfer rules even if the data stays on your existing servers. Under UK GDPR, assess whether you are making information available to a separate organisation outside the UK; location alone does not settle the question. Map the legal entities, contracts and data flows, then identify any required transfer mechanism and assessment using the ICO international-transfer guidance.

EU organisations should assess transfers outside the European Economic Area using the European Commission's international data-protection guidance. Check both the staffing arrangement and the software vendors receiving information. A local employment contract, confidentiality clause or European hosting location does not by itself resolve every data-protection obligation.

Use separate accounts, least-privilege permissions, multifactor authentication and approved password management. Decide what information may enter AI tools, check retention and training settings, and define incident reporting and offboarding steps. Record permitted processing, confidentiality, intellectual property and return or deletion requirements in the contract. The automation outsourcing contract checklist provides a fuller buyer review.

Test the role you actually need

Use fictional records and a sandbox rather than live credentials or personal data. Let candidates explain their choices and disclose which AI tools they used. Assess their checking and recovery skills as well as the finished output.

For a dedicated assistant

Provide a fictional inbox with a diary clash, an incomplete supplier request, an urgent-looking but unauthorised payment instruction and a customer complaint. Ask the candidate to prioritise the queue, draft replies and identify what needs approval. Look for accurate summaries, sensible questions, tact and a clear handover. If AI drafting is allowed, ask what they changed and how they checked factual claims. A polished reply that invents an agreement should fail the quality check.

For an automation specialist

  • Provide an enquiry form with incomplete records, duplicates and inconsistent field formats.
  • Ask the candidate to validate inputs, update a mock CRM, draft an AI-assisted response and route uncertain cases for approval.
  • Introduce an API failure after a record has been created. Check whether retrying creates duplicates or sends an unintended message.
  • Require a field map, test evidence, a run log, manual recovery steps and a short handover note.
  • Assess security, reliability, maintainability and communication separately. A successful demonstration with clean inputs does not establish readiness for operational use.

Make the decision around the work queue

Choose software when the task is bounded and an internal owner can supervise it. Choose a dedicated assistant when recurring work depends mainly on coordination, communication and judgement. Choose an automation specialist when integrations and failure recovery are substantial parts of the job. Before adding both roles, identify which responsibilities your existing team can cover and where ownership is missing.

Frequently Asked Questions

Does a small workload justify a dedicated full-time assistant?

Not necessarily. List the recurring work, its urgency and the coverage needed before choosing full-time staffing. A narrow, predictable queue may fit existing staff using software; a fragmented queue may need process simplification before another hire.

What should happen if the assistant or specialist leaves?

Keep accounts and documentation under client control, assign an interim owner and revoke individual access promptly. Rotate affected secrets where necessary. For automated workflows, confirm that an authorised colleague can pause execution and follow the recovery instructions before handover ends.
