RPA Developer Cost: UK Hire, Contractor or Philippine Specialist?

By 4 October 2026

The cost to hire an RPA developer depends on whether you need ongoing capacity, temporary specialist help or a complete implementation. Compare the total monthly budget and the responsibilities included: a salary, contractor day rate and staffing fee measure different things.

As a historical reference, Orchestrato's Q3-2025 survey reported a UK UiPath RPA developer salary range of £38,750–£46,250 between the 25th and 75th percentiles salary survey. This is a platform-specific benchmark, not a current salary quote for every RPA role. Employer contributions, recruitment and operating costs sit on top.

How Borderless Recruit helps

Borderless Recruit supplies dedicated, full-time Philippine RPA developers from £1,140 / €1,320 per month ($1,500), the RPA Developer tier on its automation specialist role page. The flat monthly client fee includes sourcing, vetting, local employment contracts, payroll and HR. Vetting includes a live English interview, personality and reliability assessment, and a hands-on multi-step workflow build with error handling. The specialist works only for you, during your UK or European business hours.

Build a fully loaded monthly hiring budget

For an ordinary UK employee, employer National Insurance is 15% above the annual secondary threshold of £5,000 under the current employer rates. Under most automatic-enrolment pension schemes, the minimum employer contribution is 3% on qualifying annual earnings between £6,240 and £50,270 workplace pension guidance. Eligibility, contribution arrangements and reliefs can change the actual payroll cost.

The illustration below uses the lower end of the cited salary range, an employee enrolled in a qualifying-earnings pension scheme, standard employer National Insurance and no Employment Allowance or other relief. Monthly amounts are annual calculations spread evenly across the year; payroll rounding may differ.

Compare the completed employee budget with the published staffing fee plus the project costs your business retains under that arrangement. Apply the same assumptions about software, supervision and support coverage on both sides. Do not turn the difference between an incomplete employee subtotal and a staffing fee into a savings claim.

For employers elsewhere in Europe, rebuild this worksheet using the hiring country's salary evidence, employer social contributions, pension obligations and benefits. Do not apply UK contribution rates to a euro salary or treat a converted UK salary as a local market benchmark.

RPA alongside substantial application developmentRPA specialist supported by a full-stack developerDivide application, automation and incident ownership explicitly.

Hiring an individual developer is not the same as purchasing a complete RPA implementation. A developer can analyse processes, build automations, write tests, document workflows and monitor production, but the client still needs a process owner and decisions about risk. Check who can approve business rules and who can stop a faulty automation.

For UK contractors working through their own intermediary, establish who must assess employment status and account for relevant taxes. Responsibilities differ by client size and sector; small private-sector clients generally follow different rules from public-sector and larger clients HMRC off-payroll working guidance. Ask whether the quoted rate includes all supplier charges before approving the budget.

What should the role specification cover?

  • Platform depth: name your existing platform, such as UiPath, Blue Prism or Power Automate, and ask candidates to explain a production workflow they maintained in it.
  • Integration breadth: identify where the process crosses applications, databases or APIs. Test the relevant authentication, data mapping and error-handling skills.
  • Production responsibility: specify monitoring, incident response, regression testing and release control, as well as building new workflows.
  • Process complexity: describe approval rules, reconciliations, sensitive records and exceptions that require human judgement.
  • Architecture: if the gap is environment design or programme governance, assess that capability explicitly rather than assuming any developer can own it.

The Philippines does not observe daylight saving. A specialist covering your UK or European business hours works a shifted schedule that overlaps those hours. Document the working window, how it follows your seasonal clock changes, the escalation route and any release restrictions. Agree out-of-hours incident cover separately.

A practical RPA hiring test

Illustrative assessment: give finalists a sandbox invoice register, a mock supplier directory and a simulated finance application. Ask them to validate records, flag mismatches for approval, enter approved invoices and produce a reconciliation report. Include duplicate invoice references, missing supplier details and an application failure after a record has been saved.

Ask for an executable workflow, configuration instructions, test evidence and a short handover note. Use synthetic data and the same assessment conditions for each finalist. Explain whether AI assistance is allowed; require candidates to explain and troubleshoot everything they submit.

Assess observable behaviour rather than a polished demonstration

Test conditionEvidence to look for
Duplicate invoice referenceThe workflow detects the duplicate and explains how it avoids a second posting.
Missing or conflicting supplier dataThe record enters a visible exception queue with enough context for human review.
Application failure after savingThe workflow checks whether the transaction committed before retrying; uncertain cases are escalated.
Credential or permission failureThe workflow stops safely, protects credentials and produces an actionable alert.
ReconciliationThe report accounts for accepted, rejected and unresolved records without silently dropping them.
HandoverAnother developer can locate configuration, understand dependencies and follow recovery instructions.

During the interview, change a business rule and ask the candidate to explain the impact before editing the workflow. For senior candidates, add an architecture discussion covering development and production separation, credential rotation, release review and recovery from partial transactions. Treat silent data loss, embedded passwords or uncontrolled duplicate processing as issues requiring explanation and correction before progressing.

Ownership and maintenance after launch

RPA workflows need review when interfaces, permissions, data formats or business rules change. Require each production automation to have a repository, deployment record, credential owner, monitoring route, runbook and rollback or recovery procedure. An internal process owner should approve business rules and decide when failed transactions need human review.

  • Inventory existing robots, schedules, licences, service accounts, queues and known failure modes.
  • Agree naming, source-control, review and release conventions before adding production workflows.
  • Baseline failures and identify expired credentials, unreliable selectors and undocumented dependencies.
  • Take a representative improvement through review, testing and release; document the process as a maintenance template.
  • Create a prioritised backlog separating repairs, new automations, potential API replacements and architecture decisions.

Assess handover quality and ongoing ownership alongside build cost. A retained specialist may suit recurring work, while a contractor may suit a finite remediation. The automation agency versus in-house guide explores the distinction between developer capacity and broader project delivery.

UK GDPR, EU GDPR and intellectual property

Giving an overseas supplier's developer access to personal data can constitute an international transfer, even if the data remains hosted locally. UK employers should assess the arrangement and applicable safeguards using the ICO's international-transfer guidance. EU organisations should assess the corresponding requirements using the European Commission's guidance. A staffing agreement alone does not establish that the processing arrangement meets those requirements.

  • Use named accounts, least-privilege permissions, multi-factor authentication and managed credential vaults.
  • Keep development and testing data synthetic or minimised wherever possible.
  • Require approval for production releases and privileged access; avoid placing sensitive values in logs.
  • Specify confidentiality, intellectual-property assignment, source-code ownership, documentation and exit handover in the contract.
  • Assign responsibility for reviewing administrative activity and removing access when responsibilities change.

Frequently Asked Questions

Does an RPA developer fee include UiPath or Microsoft licences?

Do not assume it does. Ask the supplier to identify included licences, environments, runtime capacity, cloud services and usage charges in writing. Confirm who owns the accounts and whether your organisation can keep operating the automations after the engagement ends.

Can an RPA developer also build AI integrations?

Some can, but assess that capability separately. For an AI-enabled workflow, ask how uncertain model outputs are validated, when a human must approve an action and what happens when the model or API fails. Platform certification alone does not answer those questions.
